Payroll that won’t reconcile is more common than you think
Most business owners don’t go looking for “payroll recapture” until something has already gone wrong — a SARS reconciliation that won’t balance, a new system that arrived with no history, or a resignation that took the only person who understood the payroll out the door. The good news is that almost every one of these situations has the same solution.
So what is payroll recapture?
Payroll recapture is the process of re-entering or reconstructing past payroll information — earnings, deductions, year-to-date totals, statutory contributions and leave balances — into a professional payroll system such as Sage Pastel Payroll & HR. The aim is a complete, accurate record that ties back to what was actually paid and what was submitted to SARS.
Unlike processing a fresh payroll, recapture works backwards from known facts. That sounds harder, and it can be more time-consuming — but it comes with a real advantage: a definitive, checkable endpoint. When the recaptured figures agree with the amounts paid and with your statutory submissions, the job is provably done.
Signs your business needs a recapture
You probably need to recapture payroll if any of these ring true:
- Your EMP501 or other SARS reconciliation simply won’t balance.
- PAYE, UIF or SDL was captured incorrectly — and the error has rolled into several periods.
- SDL was deducted even though your annual payroll is under R500,000 and you aren’t registered for it.
- You’re moving to a new payroll system and need your history brought across.
- A new system only has data from mid-year, leaving an earlier gap.
- You’ve been running payroll manually or in Excel and need it in a proper system.
- Employees are asking for professional payslips you can’t currently produce.
- You’re facing an audit and the figures don’t make sense.
- The person who ran your payroll has left, and no one else knows the system.
How much data are we talking about?
As a guideline, once you need to recapture two or more pay periods, it’s worth treating it as a project rather than a quick fix. The size of the job comes down to two things: how many pay periods and employees are involved, and how clean the source data is. Tidy figures in a spreadsheet recapture far faster than scattered notes and half-remembered adjustments.
What good looks like at the end
A successful recapture leaves you with accurate earnings and deductions, correct PAYE, UIF and SDL, clean year-to-date totals, reconciled leave balances, and reportable payslips — all inside Sage Pastel Payroll & HR. From there, your SARS reconciliation becomes a formality rather than a fire drill.
Do it yourself, or outsource?
If you’re comfortable in Sage Pastel Payroll & HR and you only have a small gap to fill, an import layout can speed things up.
